Whistleblower Policy

Purpose

The purpose of this Whistleblower Policy is to ensure that www.grantsgiving.org (the “Organization”) operates with integrity, transparency, and accountability. This policy encourages individuals to report suspected wrongdoing or unethical behavior without fear of retaliation.

The Organization is committed to fostering an ethical environment where employees, board members, volunteers, and other stakeholders feel safe to raise concerns about misconduct that may jeopardize the Organization’s mission or reputation.

Definition of Whistleblowing

Whistleblowing refers to the act of reporting suspected unethical, illegal, or improper conduct within the Organization. Such conduct may include violations of laws, regulations, organizational policies, or procedures, as well as activities that undermine the Organization’s ethical standards.

Examples of Reportable Activities

The following are examples of activities that may be reported under this policy but are not limited to these examples alone:

  • Financial Misconduct
    • Fraudulent financial reporting, embezzlement, or theft of funds.
    • Misuse of organizational assets or grant funds.
  • Legal and Regulatory Violations
    • Breaches of federal, state, or local laws or regulations.
    • Noncompliance with grant distribution requirements or contracting rules.
  • Unethical Behavior
    • Conflicts of interest not disclosed as required by the Conflict of Interest Policy.
    • Harassment, discrimination, or other inappropriate workplace behavior.
  • Health or Safety Concerns
    • Intentional disregard for the health or safety of employees, volunteers, or beneficiaries.

These examples are illustrative and not exhaustive. Reports can include any activity believed to conflict with the Organization’s guiding principles or obligations.

Reporting Procedures

1. Who Can Report

Whistleblower protections extend to all employees, board members, volunteers, contractors, or any individuals affiliated with www.grantsgiving.org.

2. How to Report

Reports may be submitted through the following channels:

  • Email/Hotline: Reports can be emailed to [Insert Designated Email Address] or directed to the Organization’s confidential hotline at [Insert Phone Number].
  • Written Submission: Written concerns may be sent to the attention of the Executive Director or Chair of the Board at the Organization’s mailing address.
  • Anonymous Reporting (optional): Individuals may submit their concerns anonymously via a secure reporting system, if available.

Reports should include as much detail as possible, including:

  • A description of the incident or conduct in question.
  • Dates, locations, and names of individuals involved.
  • Any related documentation or evidence.

3. Urgent Concerns

If the reported activity poses an immediate threat to health or safety, individuals are encouraged to take urgent action by contacting emergency services or regulatory authorities as necessary, in addition to reporting to the Organization.

Protections for Whistleblowers

The Organization strictly prohibits retaliation against individuals who report concerns in good faith. Retaliation includes—but is not limited to—harassment, demotion, termination, or other adverse actions as a result of whistleblowing.

Whistleblowers are entitled to the following protections:

  • Confidentiality

All efforts will be made to maintain the confidentiality of the individual submitting a report, except where disclosure is required by law or necessary for investigation purposes.

  • Protection from Retaliation

Any retaliation against a whistleblower for a report made in good faith will result in disciplinary action, which may include termination of employment or removal from duties for the offending party.

  • Access to Support

Whistleblowers will be provided with resources or guidance as needed to mitigate the stress or impact of reporting misconduct.

Organization Responsibilities

1. Timely Investigation

The Organization is committed to investigating all reports in a timely, impartial, and thorough manner. Investigations will be carried out in accordance with established procedures to ensure fairness and confidentiality.

2. Corrective Action

If misconduct is substantiated, appropriate corrective measures will be taken. Actions may include disciplinary action, policy changes, or notification of regulatory bodies as necessary.

3. Documentation and Oversight

All reports, investigations, and resolutions will be documented and stored securely. The Board of Directors will receive periodic reports summarizing whistleblower activity without breaching whistleblower confidentiality.

Responsibilities of Individuals

  • Good Faith Reporting

Whistleblowers are expected to report concerns in good faith. Reports made with malicious intent, false statements, or without reasonable grounds may result in disciplinary action.

  • Engagement in Investigations

Stakeholders involved in an investigation are required to cooperate fully and provide accurate information to facilitate an effective resolution process.

Policy Review and Acknowledgment

This Whistleblower Policy will be reviewed annually by the Board of Directors to ensure its continued relevance and alignment with nonprofit governance best practices. All employees, board members, and volunteers will be required to acknowledge their understanding of and compliance with this policy upon onboarding and annually thereafter.
